STUDENT SUPPORT VISITS

Information for Visiting Professionals

Orchard Park Primary School welcomes external professionals who support our students, including allied health professionals, Visiting Teachers, mentors and other approved supports.

To ensure student safety, minimise disruption to learning, and support clear communication across teams, all visits to the school follow the processes outlined below.

BOOKING A STUDENT SUPPORT VISIT

All student support visits must be booked via our online booking form.

This applies to:

allied health professionals
mentors and other external supports
Visiting Teachers
one-off and ongoing visits

All visits must be booked using the form - Visits are not arranged directly with classroom teachers.

A member of our administration team monitors the booking form daily and will send a calendar invitation from the OPPS email once a visit is confirmed.

2026 – Semester 1 Booking form Link

The booking form has been set up to avoid scheduling visits during student specialist classes.

If you need to observe a student within a specialist setting (e.g. PE, Performing Arts, Visual Arts, STEM), please indicate this clearly in the comments section of the booking form when submitting your request.

Please note:

visits during specialist classes are for observation within the specialist setting only
students will not be withdrawn from specialist classes for support sessions

This allows us to manage visits accurately while protecting students’ access to their specialist learning and keeping all bookings within the one system.

REQUIREMENTS FOR ALL VISITING PROFESSIONALS

The following requirements apply to all professionals visiting Orchard Park Primary School to support students. These expectations must be met in order to use school facilities and work with students onsite.

Session notes – Required process

All visiting professionals are required to complete session notes using the OPPS Google Form at the end of every visit. This is a requirement for all professionals using OPPS facilities.

Session notes:

must be entered into the Google Form
are not to be emailed directly to classroom teachers or leadership
must be completed even if you have spoken with the teacher in person

Support professionals will have access to the session notes form via:

the calendar invitation sent from the OPPS email
QR codes displayed in staff offices and breakout spaces

Administration will also prompt visiting professionals to confirm the form has been completed when signing out.

Why We Use a Central Notes System

Using a central session notes form ensures:

important information is not lost in individual email chains
all staff supporting a student have access to the same information
session notes from multiple supports can be collated in one place
families receive clearer updates through Student Support Group (SSG) processes

Working With Children Check

On your first visit to Orchard Park Primary School, you must provide a copy of your Working With Children Check for our records if one is not already on file.

Sign In and Out Procedures

All visiting professionals must:

sign in at the office on arrival
sign out at the office before leaving the school
wear a visitor badge while onsite

This is required for every visit.

A suitable space for each session will be allocated by the school.
